Responsibilities

  • The Administrative officer is responsible for administrative matters relating to official communication for CHARMS clients, as well for the following duties:
  • Counsel of clients on surgical issues, analyze quotations for most advantageous rates, advise on most effective pre operative options and oversee the preparation of admission process.
  • Liaise with doctor, management staff and medical colleagues as required.
  • Prepare scope of work for Procurement action for contracts to be managed by the practice.
  • Supervise the booking and purchase of tickets for official travel.
  • Verify invoices for payment to insurance agents against terms of contracts and actual services rendered.
  • Liaise with Budget and Finance department on Unit’s budget and outstanding obligations.
  • Secure all communications required to enter the practice for official advertisement with careful follow-ups for analysis and changes as required.
  • Meet all newly arriving clients, complete their registration and profiling and arrange hospital admission for the client and hotel accommodation for the guests if required.
  • Draft and/or verify all correspondence/faxes, medical statistics and maintain all medical practice records.
  • Prepare reports and analysis as required.
  • Supervise staff within the Practice.

  • Professionalism: Thorough knowledge of medical related processing requirements; in-depth experience; ability to apply sound judgement in the context of assignments given; ability to plan, manage and resolve conflicting priorities.
  • Technology Awareness: Fully proficient computer skills and use of relevant software, e. g. word processing, travel and data entry processes.
  • Teamwork: Excellent interpersonal skills and ability to establish and maintain effective working relations and harmony in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity, including gender balance.
  • Communications: Solid written and spoken communications skills, including the ability to draft standard memoranda and to articulate ideas in a clear, concise style.
  • Ability to provide detailed explanations orally.

Qualifications

Education

A Diploma/University degree, in business administration or related field, preferably in Business Administration, logistics and or Public Administration.

Work Experience

Candidate should possess a minimum of 2 years of experience in the service/medical industry. Knowledge of communication, press release contacts and publication editorials. Familiarity with private medical practice.

Languages

Fluency in written and spoken English is essential. Knowledge of a second official language-Malay/Chinese would be an asset .
